Step 1: Think it up.
- With the knowledge that you have, how do you create a solution for a problem that majority of your target market has? Ask yourself, what is the big problem your marketplace has? How can you come up with a solution to this problem, that hasn't been done before?
- Suggestion! Create a flowchart how you will make this solution work.
Step 2: Hand it off.
- Create a process that you can hand off for execution to a member of your team.
- Hand off the all the information about the process.
- These are the questions you need to answer yourself and provide the answers to the Project Manager or the Virtual Assistant that will execute the task.
- What is the task?
- How does the end result look like?
- Who does it help?
- Why is it important?
- What is the key functionality?
- When is the deadline?
- How do you want to communicate throughout this process?
- Suggestion! Keep all the communication in one place (Teamwork or the project management platform that you use) to have a reference point that you can go back to.
- How often do you want to communicate?
- Example: Do you need a daily update or once a week on Friday at 11 am?
- Is there any other key outcome that this project will deliver that we haven't addressed?
- What is the task?
- These are the questions you need to answer yourself and provide the answers to the Project Manager or the Virtual Assistant that will execute the task.
- Suggestion! Use a project management system like Teamwork (alternatives are Asana, Trello, Basecamp) to assign tasks to your team members.
Step 3. Make it real.
- The project manager adds the task in Teamwork, giving it a reference number.
- The project manager assigns the task for execution to the most suitably skilled virtual assistant.
- Manage the internal expectations:
- Outline the key outcomes which need to happen for this project to be a success.
- Outline the key functionality of the project.
- When the client wants this project to be delivered.
- Break the project into milestones.
- Outline the key outcomes which need to happen for this project to be a success.
Step 4: Make it better.
- Is this project delivering the outcomes that they need to and ask how can you make it even better?
Step 5: Ask for feedback.
- Ask the client to rate the process from 1 to 10. Additional questions to ask include:
- Did they receive the outcome they wanted?
- Is the functionality correct?
- Are they happy with the speed and efficiency?
- Are they happy with the accuracy of the task?
- What is their overall satisfaction?
- Did they receive the outcome they wanted?
